Why not a printable or a spreadsheet
A printable template works when everyone is in the same room. A shared spreadsheet works until someone on a phone can't edit it, or types over someone else's row. Sign-up sites ask every guest to make an account and give their email.
Here the organizer writes one sentence, and the group gets a link that opens straight from the chat. Each item can be taken once, so you never end up with five bags of chips and no main.
How to make it in a minute
- 1Tap “Make the sign-up sheet” above. The sentence is already written — change it to what you need: what, when, and what to bring.
- 2Tap “Create link”. The date and the list are understood on their own, even if you just say the sentence out loud.
- 3Send the link to the group chat — WhatsApp, iMessage, Telegram, email, wherever your group is.
- 4Everyone taps what they're bringing and types a name. Taken items show for everyone, instantly.
Need two of something? Write it twice. Each line can be taken by one person.
What to put on a potluck list
- Mains — one for every 8 to 10 people
- Salads and sides
- Bread or rolls
- Desserts
- Drinks and ice
- Plates, cups, napkins, serving spoons
Questions
- Is it really free?
- Yes. No account, no ads in the list, no app — for the organizer or the guests.
- Do guests need to give an email?
- No. They tap the link, pick something, and type a first name.
- Can I change the list after I send it?
- Yes. When you create it you get an admin link to add items, change the date, or free up a spot.
- Does it work for office and church potlucks?
- Yes. Any group that has a chat or an email thread can use it.
